Files
Everything your agent produces for you (documents, reports, spreadsheets, images) is kept in Files, whichever thread or automation made it.
Asking for a document
Ask for the file you want, in a thread, and say the format:
- “Turn this into a one-page PDF.”
- “Put these numbers in a spreadsheet, one row per client.”
- “Write up this week’s progress as a short report.”
The file appears in the thread and in Files. To change it, reply in the thread (“Make the title bigger and add our logo”) and the agent updates it.
Finding a file
Open Files from the side rail. Each file shows its type, when it was made and its size.
- Search files by name… finds a file from part of its name.
- The category menu next to the search box shows All categories, one category, or files with No category.
- The star (Add to favourites) keeps a file in Favourites at the top of the list. Favourites are kept in your browser, so they are yours alone.
- Show more at the bottom loads the rest of the list.
Previewing and downloading
Click a file’s name to preview it without leaving the console. Use the arrows to step through the list, and switch between Rendered and Source where a file has both. Download saves a copy, from the preview or from the row.
Categories
Give a file a category from the menu on its row: Reports, Marketing, Sales, Finance, Operations, Design, Legal or Other. A file has one category, and everyone on the agent sees the same one. Owners, admins and operators can set categories; viewers see them.
Sharing a link
To send a file to someone who does not use the console, press Share on its row. There are two kinds of link.
- Anyone with the link opens the file without signing in.
- Only people you name asks the person to confirm their email address with a one-time code before the file opens. The code is emailed to them and works for an hour. Up to 10 people per link.
How to share. In Share a link, choose who can open it, then how long the Link lasts: 1 day, 3 days, 7 days or 30 days. Press Create link, then Copy link. You send the link yourself.
Ask your agent. “Share the proposal with jane@acme.com” or “Give me a 30-day link”. The agent replies with the link, and it appears under Shared links.
What people see. The file in their browser, with a small badge for your workspace. Pages, PDFs and images open in place; other files download.
Shared links. Every live link from you, your team and your agent is listed under Shared links at the top of Files: when it expires, who shared it, Open, Copy link and Revoke, which stops it working at once. For private links, Opened by shows who opened the file and when. Shared files carry a Public link or Private link tag.
Limits. Each agent can have a set number of live links at once (links your agent makes have their own allowance), files up to 10 MB, and a link ends when it expires or when you revoke it. Owners, admins and operators can share and revoke links.
